RTNS 2013

General terms and conditions

All participants must be registered and are urged to register in advance.

 

The registration fees includes for all packages:

-         Lunches and Breaks from October 16 to 18, 2013

-         A cocktail October 16, 2013

-         A gala dinner October 17, 2013

-         Entry to all conference sessions including junior workshop

-         Proceedings

-         Conference bag, containing the official conference material.

 

Travel and hotel accommodation costs are not included and are the responsibility of each conference participant.

Registration

Registration at Early Registration rates will be possible until September 15, 2013 (GMT +1, Paris).

AT LEAST ONE AUTHOR PER FULL PAPER has to be registered before September 15, 2013.

All indicate rates above include a VAT of 19,60% at current rate at the day of printing.

The registration method of payment recommended is the payment by credit card, via our 3D secured gateway. We only accept Visa, Eurocard and Mastercard.

Only fully completed registration forms will be accepted. The registration fee is based on the date of the receipt of the registration form and the payment in full in accordance with the deadlines mentioned above. Should one deadline be missed, the next applicable fee will be charged automatically. The registration will only be confirmed upon receipt of payment in full. An invoice will be sent after the receipt of your registration, a confirmation of payment will be sent upon receipt of payment in full.

As of September 16, 2013, the Late Registration rates will be applied and payment of your registration will only be possible by credit card.

Registration by phone will not be processed.

On-site registration at Late Registration rates will be possible during the conference, by credit card payment only. Cash will not be accepted.

Note that in order to secure online payments, your bank may ask you for personal information or a security code that you will receive by phone or email. Please ensure that you will be able to receive your credential, payment by cash will not be accepted.

Student status

A copy of your valid student ID card is necessary to confirm the student status. Student must have been a student at a recognized university at RTNS submission deadlines to receive discounted rate.

A valid student ID-card has to be sent by mail (rev-evt@inria.fr) or by fax (+33(0) 4 92 38 76 33). Failure to do, the Full rate applicable fee will be charged and has to be paid at the registration desk on site.

You should be asked to present your original student ID on-site in order to receive your name badge. 

Additional gala dinner

(Subject to availability, on a first-come first save basis).

It is possible to buy one additional ticket for the Gala Dinner at 85€.

 

Conference Material

If the registration form and full payment are received no later than the standard registration deadline, a conference bag is included in the registration fee for delegates and students. If the registration form and/or full payment are received after the standard registration deadline, the conference organizers cannot guarantee that a conference bag will be available. All conference materials will be handed out on-site at the registration desk.

 

Terms of Payment

The method of payment recommended is the payment by credit card (secured).

Payment must be sent to the Congress Office in EUROS (€):

-        by credit card : pay online via our secure credit card gateway. Only VISA, MASTERCARD or EUROCARD are accepted.

-        by bank transfer* to the order of Regisseur d’avances

* Do NOT forget to give the name of the person you are paying for, on the bank transfer order. Bank transfer charges had to be paid by the registrant. Registration without appropriate payment will not be honored until full payment received. The registration will only be accepted upon receipt of payment proof. In the absence of the document, the registration will be considered cancelled.

 

Cancellation policy for individual registration & reservations

All cancellations must be notified in writing (by mail or e-mail) to the Congress Office according to the following conditions and reimbursement (will be processed AFTER the Congress):

-        Up to September 25, 2013: a 10% cancellation fee will be withheld for administrative fee,

-        After September 25, 2013 no refund

Cancellation must be notified by writing to the Congress Office no later than 30 days after the conference. No refund request will be processed after this date.

If unable to attend, a colleague may attend in your place. Please send written instructions for this.

Credit will not be given for unattended events or early termination of attendance.

 

Cancellation of the conference

In the event that the conference cannot be held or is postponed due to events beyond the control of the conference organizers (force majeure) or due to events which are not attributable to wrongful intent or gross negligence of the conference organizers, the conference organizers cannot be held liable by delegates for any damages, costs, or losses incurred, such as transportation costs, accommodation costs, costs for additional orders, financial losses, etc.

Under these circumstances, the conference organizers reserve the right to either retain the entire registration fee and to credit it for a future conference, or to reimburse the delegate after deducting costs already incurred for the organization of the conference and which could not be recovered from third parties.

 

Privacy Legislation

By registering for the conference, relevant details will be incorporated into a participant list for the benefit of all delegates. Normally this information would be: name, surname, institution, country and email address. These details may also be available to parties directly related to the Conference including the venues and accommodation providers. We may use these details to inform current participants of Conference updates or future conferences via email. Participants are responsible for advising us if they do not wish to have their email addresses included in the conference participant list or distribution list for future events.

In accordance with French law "loi Informatique et Libertés", articles 39 and 40, you have the right to access and rectify your data. In practice, proving your identity, you can ask us whether or not we process data about you and in case the answer is yes, which data, for which purpose and how. Besides, French law acknowledges your right to rectify update and suppress these data. For any such request, please contact cil@inria.fr
